THE OBJECTIVE WITH OUR POLICY is to protect your privacy and personal data and at the same time ensure that we have sufficient information to provide you with the best possible service.

INTRODUCTION

This privacy policy applies to the processing of personal data carried out by Marathongruppen (Marathongruppen/we/us) when you participate in our events, use our services, visit our websites or communicate with us in any other way.

It is important for us to only use your data in accordance with your expectations and with the applicable data protection legislation, and to be transparent with you concerning the way we use your data.

This privacy policy will explain which data we collect, why we collect it, how the collected data is used and your options and rights concerning the collection of your personal data.

WHICH DATA WE CAN COLLECT

In connection with the various ways we communicate with you and the various services we provide, we can collect data in the following categories:

  1. Registration data, including name, address, telephone number and email address, date of birth and nationality, t-shirt size.
  2. Results data, including results from previous events, class, start number, place
  3. Payment data, including payment method and remitter (not credit card data).
  4. Communication data between you and us, including email communication, online chats.
  5. Digital data which is collected when you use our websites or other digital platforms, including IP-addresses, web browser data, traffic data, purchase history and usage patterns.
  6. Images, including photos and film from our events and associated activities such as number bib distribution and training sessions.
  7. Data when buying a gift card, including name and email address.
  8. Data when voluntarily registering for a newsletter, including email address
  9. Data when ordering merchandise via Löparshopen, including name, address and email address.

WHERE WE COLLECT YOUR DATA

You, have provided most of the data we have about you. We can also get data from registration data and results data from our partners if they have access to such information about you. We collect digital data from our websites, applications and similar digital platforms. Images are collected in conjunction with our events.

WHY | WE USE YOUR DATA

We process your data for the following purposes:

Organise races/So that you can participate
Description: We use registration data, results data, communication data and payment data to be able to process your registration to our events. This includes being able to notify you about conditions and information about these events and your registration, and to be able to give you a historical relevant service if you are a regular participant in our events.

Legal basis: This data is processed in order to fulfil the agreement with you.

Sharing of data: In order to process your registration, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Communication
Description: We use registration data to provide you with relevant information about the event you are registered for. We can provide such information electronically or by other means.

Legal basis: We use this data in order to provide important information about your registration and the event to which it relates, as necessary to fulfil our agreement with you. In addition, we use the data to provide you with other information which is necessary for us to fulfil our legitimate interests, including ensuring that your participation in our events is as convenient and problem-free as possible.

Sharing of data: In order to process your registration and provide you with relevant information, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Direct marketing
Description: We use registration data, images, digital data and data for the voluntary subscription to newsletters to provide you with offers, newsletters and other digital communication from us and our partners. 

Legal basis: As long as you have an existing customer relationship with us, our use of such data to market our services is based on our legitimate interest to provide you with relevant information and offers. You can, at any time, abstain from information and offers via newsletters and via social platforms you can regulate which advertising you want to receive from us. You have an existing customer relationship with us if you have participated in one of our events during the past three years.  

Sharing of data: In order to provide you with relevant information and offers, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Participant surveys
Description: We use registration data and results data to enable us to carry out evaluations of the events you have participated in. All data is made anonymous when it generates statistics and analyses.  

Legal basis: As long as you have an existing customer relationship with us, our use of such data is based on our legitimate interest, with your voluntary assistance, in developing our events.

Sharing of data: In order to be able to carry out qualified surveys and analyses, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Delivering purchased merchandise
Description: We use data which you have provided when ordering merchandise via Löparshopen, in order to be able to deliver your ordered goods.

Legal basis: We base the use of this data on the agreement you sign with us in connection with the purchase of the goods. This data is removed 7 years after the purchase.

Sharing of data: In order to be able to deliver your goods it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Creating marketing material
Description: We use images to create marketing material for future years’  events.

Legal basis: Our use of such data is based on our legitimate interest in developing and marketing our events. If you appear in focus on intended marketing material, we will obtain your consent before production.  

Sharing of data: In order to be able to produce and use relevant material, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

Gift cards

Description: We use data from the purchase of gift cards in order to process the gift cards and deal with the administration of them.  

Legal basis: This data is processed in order to fulfil the agreement with you.

Sharing of data: In order to process the gift cards, it may be necessary for us to share your data with partners who carry out services for us. These partners all have a so-called ‘assistant agreement’ which regulates the way they receive and deal with your data.

SHARING OF DATA WITH A THIRD PARTY
At certain events, we share your data with our co-organisers. In these cases, we and the co-organisers are both responsible for the personal data.
We also share your registration data with photography companies who are responsible for documenting the event and offering you, as a participant, photos of yourself in the race.

HOW LONG DO WE STORE YOUR DATA

We will only store your data as long as it is necessary for us to fulfil the purpose of processing of the data.
We will store your registration data as long as you have an existing customer relationship with us, ie three years after you last registered for one of our events.
Results data, images and voluntarily submitted data in order to receive newsletters are saved indefinitely
Payment data is saved, according to accountancy legislation, for seven years. 

INTERNATIONAL DATA TRANSFER
We have affiliated companies, branch offices, agents and partners who are established outside the EES and to whom we can transfer data, as described in point 4 above.

We will ensure that your data is adequately protected by the receiving parties in such countries. Adequate protection can usually consist of imposing contractual obligations to ensure that they maintain privacy and data protection of the same standard as we have here. You can request further information or a copy of the safeguards we use to ensure legal transfer of your data.  

HOW YOU CAN GAIN ACCESS TO, CORRECT OR DELETE YOUR DATA AND MAKE A COMPLAINT

You can contact us at any time if you want access to or to correct your data. You can also request a copy of the data we have collected from you.

You can request us to delete data we have collected from you. We must, however, keep data which is necessary for us to fulfil our agreement with you and which is necessary to comply with the law or enquiries from authorities.  

If you consider that our use of your data is inappropriate, you can make a complaint to Datainspektionen (Swedish Data Protection Authority).  Before you make such a complaint, however, we request that you contact us, since it is possible that we can help you with answers and correct any possible misunderstanding.

COOKIES
We use cookies on Marathongruppen’s websites to ensure that the website works, analyse website traffic, see which parts of the website you have visited and for marketing purposes.

CHANGES TO THIS PRIVACY POLICY
We may update this privacy policy from time to time. If appropriate we will inform you of such amendments. Otherwise, they will be published on our website. Any possible amendments will only come into effect after they have been notified/published.
